Privacy Policy

The Community Journal is a weekly publication that celebrates one member of a community at a time. It is made and run by Haijahr Limited ("we", "us"), which is the data controller for the information described here. This policy explains what we collect, why, and the control you have over it. We have tried to write it like a human, not a contract.
What we collect
- When you nominate someone (at /write): your name and email (unless you choose to stay anonymous, in which case we still keep your email so we can let you know when the piece runs), and the person's name, email, and the story you write, including any role or relationship you add.
- When we ask for consent: we email the person you wrote about and record their decision to grant or decline.
- When you subscribe: your email, and your name if you give it. We confirm your address by email before adding you (double opt-in).
- Editors: name, email and a password for the people who run the Journal.
- Automatically: a session cookie to keep you signed in, your light or dark theme choice (stored only in your browser), and standard server logs.
Why we use it, and our lawful basis
- To contact the person you nominated and ask their permission. Nothing about them is ever published without their consent.
- To edit and publish features, and to send the weekly newsletter to people who asked for it. Our basis is your consent, and our legitimate interest in running the publication.
- To keep the site secure and working.
AI assistance
To help our editors shape a rough nomination into a finished piece, the submitted text may be sent to a third-party AI provider (for example Groq or Mistral) that we have configured. It is used only to draft the article, which an editor then reviews. We do not use it to make automated decisions about people, and a human always decides what is published.
Who we share it with
We do not sell your information. We share it only with the service providers we need to run the Journal, our email delivery provider, the AI drafting provider above, and our hosting, all acting on our instructions. We may disclose information if the law requires it.
How long we keep it
Published features stay online as part of the archive. If a person declines, or a piece is rejected, we do not publish it and we remove the draft from active use. If you are featured and later ask us to take your piece down, we withdraw it from the site, the archive and search straight away, and keep only a minimal internal record unless you ask us to delete that too. If you unsubscribe, we remove you from the newsletter list. You can ask us to delete your information at any time.
Your rights
Under UK data protection law you can ask to see the information we hold about you, correct it, delete it, or object to how we use it, and you can withdraw consent at any time. To do any of these, email us at the address below. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
Cookies
We use only essential cookies to keep you signed in and to protect forms. Your theme preference is stored in your own browser and never sent to us. We do not use advertising or tracking cookies. See our Cookie Policy for the full list.
